Data Security
We use encrypted, healthcare-appropriate software systems and never sell your data. In addition to digital safeguards, physical access to sensitive information is controlled at our clinic location at Unit A6, Chapel Farm Industrial Estate, Cwmcarn. Devices used for assessment and analysis are secured, access-restricted, and managed in line with clinical best practice.

2. The Data We Collect.
Standard Personal Data.
- Name
- Email address
- Telephone number
- Date of birth
- Emergency contact details
Special Category Data (Health & Performance).
Because we operate in a clinical and performance setting, we also collect:
- Medical and injury history
- Cricket-specific injury records
- Physical and movement assessment notes
- Rehabilitation and workload management data
- Session reports and longitudinal progress tracking
- Video analysis footage
- Wearable or sensor-derived performance data (where provided by the athlete)
This data is classified as Special Category Data under Article 9 of UK GDPR.
3. Video Analysis and Biometric Data.
At Cricket Matters, assessment is central to decision-making. Video analysis is used to support safer, clearer performance and rehabilitation planning.
Purpose of Processing.
Video may be recorded to analyse:
- Bowling gait and front-foot contact
- Batting mechanics and rotational movement
- General athletic movement linked to injury risk and performance constraints
Video analysis is also used to identify biomechanical markers (including counter-rotation and segment timing) associated with elevated lumbar stress fracture risk in fast bowlers, supporting safer workload management and return-to-play decisions.
Where Recording Takes Place.
Recording takes place only in controlled clinical or training environments. We do not record in changing rooms, private areas, or any environment where recording would be inappropriate.
Storage and Security.
Video data is stored securely using encrypted, access-controlled platforms, including:
- Zanda (for clinical and practice notes)
- Everfit (for remote training and rehab
- Cricket Matters App (for performance analysis and reporting)
Footage is never permanently stored on personal mobile devices.
Retention.
Technique analysis footage is retained for the duration of your client relationship to track long-term development. You may request deletion of specific footage at any time, unless it forms part of a clinical record we are legally required to retain.
Sharing and Media Use.
We will never share video footage publicly or use it for marketing or social media without your explicit, written consent via a separate Media Release Agreement.
For under-18s, parental or guardian consent is required for any video recording, and footage is handled with enhanced sensitivity.
4. How We Use Your Data (Lawful Basis).
We process personal data under the following lawful bases:
- Contractual necessity: to deliver services you have booked
- Legal obligation: to retain clinical records in line with UK guidance
- Special Category Condition (Article 9(2)(h)): provision of health care, injury assessment, and rehabilitation
Data is only processed where necessary, proportionate, and relevant to your care or performance support.
5. Clinical Data Governance & Professional Responsibility.
Cricket Matters operates within defined professional and ethical standards appropriate to a clinical sports injury and performance setting. Personal and health-related data is processed in accordance with:
• UK GDPR and the Data Protection Act 2018
• LCSP Associate Member professional standards
• Safeguarding obligations under Welsh law
Data collected through assessment, rehabilitation, and performance analysis is used solely to support informed decision-making, athlete safety, and long-term development.
All clinical assessments and performance records are overseen by James Breese (LCSP Associate Member), who is professionally accountable for data handling, confidentiality, and decision-making integrity. Information is managed to the same standard expected within a regulated clinical sports injury and performance setting.
6. Data Retention.
We retain data in line with professional and legal guidance:
- Adults: clinical records retained for 8 years after last contact
- Minors: records retained until the client’s 25th birthday
Once a minor reaches 18, they may personally exercise their data rights, including requests for access or erasure where legally permissible.
Where data is no longer required, it is securely deleted.
7. Data Sharing.
Your data may be shared only where necessary and appropriate, including:
- With medical professionals (e.g. GP or consultant), with consent
- With insurers where applicable
- With secure software providers used for booking, clinical notes, reporting, or exercise prescription
We do not sell, rent, or trade personal data.
International Data Transfers
Some of the secure software platforms used by Cricket Matters (including Zanda and Everfit) may process data on servers located outside the United Kingdom or European Economic Area. Where this occurs, appropriate safeguards are in place to ensure your data remains protected, including the use of UK-approved Standard Contractual Clauses, adequacy regulations, or other lawful transfer mechanisms recognised under UK GDPR. Data is transferred only where necessary for service delivery and is handled in accordance with professional clinical standards.
8. Your Rights Under GDPR.
You have the right to:

- Request correction of inaccurate information
- Request erasure (where legally permissible)
- Restrict or object to processing
- Data portability
- Withdraw consent where applicable
